Online Marketing Platforms manages the newschool.edu domain and authorizes use of all domains within the newschool.edu space and any domain or subdomain in planning or purchased on behalf of The New School for any marketing purpose.

What is a Domain

Your domain name is your sites URL or Web address—the place where your website lives. The New School’s domain is newschool.edu.

What is a Subdomain

A subdomain is a unique URL that lives on a purchased domain. It appears as an addition to the name  at the beginning of your regular domain name, as in blogs.newschool.edu and events.newschool.edu.

What is a Directory

A directory is a unique URL that lives on a purchased domain, appearing as an extension at the end of URL, as in newschool.edu.edu/webinars.

What Does All This Mean

If you are thinking about purchasing a domain or using a New School subdomain, please complete the following Domain and Subdomain Request Form before you do so. Online Marketing Platforms and Information Technology will follow up with you to advise you on the best way to proceed on the basis of your specific needs.

M&C manages blogs.newschool.edu, a WordPress multisite that covers a single New School theme and uses selected plug-ins. It is designed to provide schools and university departments a simple and management-free blogging platform that is on brand and that can be deployed quickly and integrated into the main EDU website through Web services or existing CMS widgets. The platform is not designed to serve as a replacement for an EDU website.

M&C manages the security of the platform and keeps the platform running and up-to-date. The platform URLs appear only in the form blogs.newschool.edu/siteName.

The platform is designed for school and administrative department blogs.

The New School IT department offers website hosting for WordPress-based websites. The hosting consists of the setup of a base WordPress site, a standard security package, and daily backups. The development,  updating, and maintenance of the WordPress site are the responsibility of the site owner. The platform is  not designed to serve as a replacement for an existing EDU website.

These WordPress sites are designed for school blogs and for the use of administrative departments and  students.

IT manages portfolio.newschool.edu, a WordPress multisite that covers a variety of selected themes and uses plug-ins that will work together with minimal conflict. The system  can be created by any New School staff or faculty member or student and is connected to the creator’s New School NetID. The platform URLs appear only in the form portfolio.newschool.edu/siteName.

This platform is designed for the use of faculty, staff, and students.

Google Sites lets you create a simple website quickly without any knowledge of HTML. You can work alone or with others to create a website using Google Sites. A unique feature of Google Sites is that access can be limited to internal New School users. Google Sites is not appropriate for department websites. See Stanford Sites for a recommended alternative.

The use of Google Sites is recommended for internal New School audiences, administrative departments, and current students, faculty, and staff.

The New School faculty bio system is managed by M&C, but faculty members’ bio information is updated by the college or school in which the faculty member is teaching.

To update your faculty bio, including your bio image, please contact the communications director of your school or login into the Faculty Bio Manager using your New School SSO Username and Password.

To update your directory or faculty bio image, please use the following service, provided by Card Services: idphoto.newschool.edu.

The New School University Directory display is managed by M&C, but information is updated by the Human Resources department through the MyDay system.

To request an update to your directory information, please contact Human Resources.

The New School Content Management System (CMS) is the university-wide system for building and managing website content for all Web properties within newschool.edu.

A Web-based software application, the New School CMS is used to create, publish, and store content for presentation on the newschool.edu website. It is designed to allow colleges and schools, administrative departments, and strategic university initiatives to easily update and publish their content, in partnership with M&C.

In order to use the CMS you must first receive training from Online Strategies. Have your designated program/department liaison with Online Strategies submit an online request for CMS training. If you do not know who your designated liaison is, contact your project manager in Marketing and Communication.

If you have forgotten your CMS password you can initiate a password reset. You will need to know your CMS username and the email address attached to your account. This is normally is your new school email address. 

Reset your CMS Password

Much of the time when you can't edit a piece of content you think you should be able to, it is not because your permissions are incorrectly set, but instead for one of the 4 following reasons:

1. The piece of content is checked out by another user.
   You can determine this by navigating to the content block's property tab via the workarea and checking the Status field. If it is checked out it will say "Checked Out" and the "Last User to Edit" field will tell you by who. Until they check it in or submit it for publishing, no one else will be able to access the content.
2. The piece of content is in workflow.
   You can determine this by navigating to the content block's property tab via the workarea and checking the Status field. If it says "Submitted for Approval(s)" that means it is in workflow. To find out specifically where in workflow, check the Approvals field. The type highlighted in red will indicate where in the flow the content is.
3. Someone in your program/department has determined you should not have access.
   With very few exceptions, Online Marketing Platforms (OMP) does not determine which users have access to what content. If you think you should be able to edit something you can't, you should discuss the matter with your program's/department's designated liaison with OMP. This person is usually your Communications Director or its equivalent. They will then contact us should any access changes be required.

1. Make Sure You Actually Submitted Your Content Changes
   You can determine this by navigating to the content block's property tab via the workarea and checking the Status field. If it says "Submitted for Approval(s)" that means it is in workflow. To find out specifically where in workflow, check the Approvals field. This field shows every approval step required before content goes live on the site. The text highlighted in red will indicate where in the flow the content is. If the Status field says "Checked Out" you did not actually submit the content. Go back into edit the content and click the "submit" button.
2. Has It Been Three Days Since You Submitted Your Changes?
   Virtually all content changes must go through an approvals workflow. The number of steps and how long it takes depends on the given site or section of a site. A good rule of thumb is to allow three business days from the date of submission to publication. Marketing and Communication approval is the last step in all workflows.
3. Are You Looking at a Cached Version of the Page?
   Bypass your browser cache to make sure you are not seeing an old version of the page. Some content also makes use of server caching and there is a delay between when something is published and when it ultimately shows up on the site. Please keep all of these things in mind when updating content.

PDFs are sometimes better solutions for some content than adding another HTML page. When the need to use a PDF arises, make sure it has basic New School branding at minimum. You can download university and School logos from the visual identity page in the Marketing and Communication website.

Google Docs - Also Known as Google Drive
The New School has moved to a decentralized model using Google Docs to host PDFs because it provides content owners with more flexibility in managing their documents. You must use the official university hosted version of Google Docs. Do not use any other instance of Google Docs. The official university hosted version follows all security protocols that The New School is mandated by the government to meet. While we are on the topic of information security, all faculty, staff and student workers are required to adhere to The New School's Information Security and Policy Standards.

The New School's Information Technology department has several resources available on how to make use of Google Docs.

Each document must be associated with a program/department email address (e.g. [email protected]). The reason for this is that when a document's owner leaves The New School, the document is deleted along with the individual's personal New School email address, and will be unrecoverable. We highly recommend that at least two people have access any program/department email address so their is a primary and backup person to manage documents. If you need a departmental email created, contact the Information Technology help desk.

You and your website have a dedicated Online Strategies web producer who is your primary contact regarding any CMS questions and basic issues you may run into over time.
